Finance & Administration Manager Swedish Chamber of Commerce in Hong Kong

The Swedish Chamber of Commerce in Hong Kong (SwedCham) is recruiting a new part-time (60%) Finance and Administration Manager. This is an excellent opportunity for a finance, office, and operations professional with an interest in international business, trade, and Swedish-Hong Kong relations. SwedCham is a small non-for-profit organization with a membership body of 200 members 

This is a part-time role within the Swedish Chamber of Commerce in Hong Kong that will serve the organization and support the General Manager in all aspects of finance, operation management and administration. 

Your primary responsibilities will be the financial reporting process, from budgeting to management of accounts, including compliance reporting to relevant authorities and to the Finance Committee of the Board of Directors. You will also support the General Manager in all aspects of operation and office management, administration, and HR support.  



The ideal candidate is highly service-minded, has at least four years of relevant work experience and will assume responsibility with ease. Accounting qualification and bookkeeping experience as well as proficiency in the use of cloud bookkeeping packages, advanced knowledge of Microsoft Office and other best practice financial tools is necessary. 

SwedCham maintains a busy schedule, in a small team environment, with many parallel initiatives, so we are looking for an individual with the ability to multitask and operate within tight timelines. As a person, you are self-motivated and well-organized with attention to detail. Your communication skills are highly developed with fluency in both spoken and written English. Swedish and/or Chinese language skills are considered a merit, as is familiarity with the local business cultures of Hong Kong and China. 



You will be responsible for ensuring the smooth and efficient running of the organization: 

  • In all financial matters, including budget development support, planning, and reporting, managing the accounts, payroll, financial reporting of activities and services as well as yearly audit. 
  • In all operational matters, including handling incoming emails and calls, dealing with members queries, other office administration and HR requirements and overseeing activities to ensure safe and cost-effective management. 
  • With Financial and operational knowledge in the development of organizational strategies, policies, practices as well as providing financial monitoring and controls on all activities 

You will also support the General Manager in all aspects of operation and office management, administration, and HR support. 

  • Interact with the Board of Directors and Finance Committee, by providing financial reports and information to ensure sound financial and operational governance. 
  • Manage and develop the CRM-system (Glue Up), office-system, and online bookkeeping system (Xero), and ensure it is accurate, compliant, and up to date. 
  • Liaising with Company Secretary and Companies Registry to ensure correct and timely filing of Director documents and Annual Returns. 



5% pension contribution, 15 days annual leave.
